Intake Coordinator

 

 

Position Summary

 

The CARE House of the Pee Dee is a nonprofit child advocacy center whose mission is to promote help, hope, and healing in a nurturing environment to child abuse victims and their families through supportive services and prevention. We provide forensic interviews, medical evaluations, therapy, advocacy, and multidisciplinary team coordination to ensure a child-centered, trauma-informed response to child abuse.

The Intake Coordinator serves as the first point of contact for child abuse referrals to The CARE House of the Pee Dee. This position is responsible for coordinating the intake process, managing communication with referring agencies, scheduling services, maintaining accurate documentation, and ensuring a compassionate and organized experience for children and families entering the center’s care.

Key Responsibilities

Intake & Scheduling

•    Receive, review, and process all incoming referrals for forensic interviews, medical exams, and other services.

•    Coordinate and schedule appointments in collaboration with the multidisciplinary team (MDT) partners, including law enforcement, DSS, and other agencies.

•    Confirm appointment details with families and provide clear instructions and support before their visit.

Communication & Coordination

•    Serve as the liaison between The CARE House and referring agencies to facilitate timely and appropriate service delivery.

•    Maintain effective communication with internal staff, ensuring smooth transitions between intake, advocacy, and other services.

•    Assist with the coordination of case review and MDT meetings as needed.

Documentation & Data Management

•    Accurately document all referrals, communications, and appointments in the client management database.

•    Maintain confidentiality and compliance with all agency, state, and federal regulations.

•    Assist in generating intake and service-related reports for grant and programmatic purposes.

Client Support

•    Greet families and children upon arrival, creating a welcoming and trauma-informed environment.

•    Provide immediate information and reassurance to families regarding the intake process.

•    Connect families to advocates or other appropriate team members for follow-up support.

Administrative Support

•    Maintain up-to-date intake forms, resource materials, and records.

•    Support other administrative or program functions as needed, including training logistics, communication materials, and data entry.

Qualifications

Education & Experience

•    Minimum of high school diploma. Bachelor’s degree in Social Work, Psychology, Human Services, or related field preferred.

•    Experience in social services, child advocacy, or victim services preferred.

•    Experience working with multidisciplinary teams and/or child abuse investigations is highly desirable.

Skills & Competencies

•    Strong interpersonal and communication skills with an empathetic and professional demeanor.

•    Exceptional organizational and time management skills.

•    Ability to manage multiple priorities and work effectively in a fast-paced environment.

•    High attention to detail and accuracy in data entry and documentation.

•    Proficiency in Microsoft Office Suite and client database systems.

•    Commitment to trauma-informed care principles and confidentiality
